The stream's process definition is a diagram that describes what happens when new information comes in from a form or data import. A process begins with a start step and finishes at an end step. Intermediate steps govern data transformations and branching of the process pathways.

 

The editing process is the same for streams and rules. In a nutshell, you drag steps into the diagram, and wire them together with arrows.

A process consists of:

• Start Step  - where the process starts
• User Task steps - for human interactions, including assignment rules, escalations, event-triggered actions, child tasks, and document signatures.
• Gateways and Endpoints - to create multiple paths through the process, conditionalizing them as needed.
• Smart Steps -  to perform automated actions and to invoke rules (for example, to integrate with an external data source)
  • Send Email - Use an email template to send a message to a specific recipient or to one of the email addressed stored in stream data.
  • Update Fields - Store a specified value, contents of a field, or the results of an expression into specified data fields.
  • Update Fields using Decision Matrix - Specify conditions and values to set for data fields when those conditions are met.
  • Change Stage Status -  Change the designated processing-stage for the stream record
  • Post Message on Activity Feed - Post a comment to the activity feed for the current record.
    • Click the magnifier icon to add template variables that supply data from the stream record.
    • Such variables have the form $DataComponent.FieldName.
  • Send Documents for Signature  - Send selected documents to specified recipients for an electronic signature.
  • Execute Actions Conditionally - Update fields, send messages, execute rules (for example, to integrate with an external data source), either conditionally or unconditionally.
  • Create Record in another Stream - Select the stream, and provide values for the stream record, specifying literal values, fields to copy data from, or an expression that combines both.
  • Create Smart Object Record - Select a smart object and specify field values for a new record, then select the linking field that will store the id of the new smart object record.
  • Execute Action on Child Data - Execute an action on child records (records listed in a Child Data List field).
  • Trigger Corrective Action Tasks - Specify a due date, and select an owner for a "corrective action needed" task.
  • Wait Timer - Give the step a title, then choose to wait for a specified amount of time, for an amount of time specified in a field, or until a date specified in a field. (When a field is chosen, it is interpreted as a number of days.)
  • Call Subprocess -  Launch a selected sub-process segment.
