Stages and Escalations

Record stages, also known as milestones, give you a more finely-grained way to track record states.  For example, an automobile claims process could be divided into the "investigation stage", the "damage assessment stage", and the "disposition stage". Then, instead of only being able to determine that a claim is "In Progress", you see at a glance which stage it is in, and it's status in that stage (either "Started" or "Completed"). 

For each stage, you can also define escalations that perform automated actions when the activities required to move out of a stage do not occur in a timely manner.

 

To change the stage status for a stream record, you can use a process step, or use one of the automated actions that can be defined in the system.

 

To manage the stream's stages and escalations:

  1. Go to a stream definition.
  2. In the sidebar, hover over Stages and click Edit.
  3. Click Add Stage to add a new stage, or select an existing stage to modify it.
  4. In the sidebar, click and drag a stage to change its order in the list.
  5. When done making modifications, click Save Changes.

Changing a Record's Stage Status

To change the stage a record is in, use a Change Stage Status step in the stream's process definition. That step lets you select one of the defined stages, and set the status of the stage to Started or Completed.

Stage Settings

When viewing a record, the stage status is displayed in the record sidebar.
A stage that is overdue is shown in red, completed in green, and in-progress in yellow.
