If there are large number of fields in your document, it can be cumbersome to create the stream using the Wizard. For a large document stream with hundreds of fields, the CSV import option works best.

 

With that option, the process of creating a new stream starts in Excel.

 

Start by downloading a sample file that contains the layout needed to create your stream document

 

When you open the file in Excel, you will notice various columns:

• Column 1: Unique ID (Field Name)
  Specify a Text that becomes the name of the field in the data component. It is not required to give a unique name, if you leave it blank Field Names will be automatically generated.
  (Each must be unique. You can use numbers to make names like FLD01, FLD02, etc.)

   Names of all the checklist fields are automatically generated with the convention of ch1, ch2, ch3 etc.

• Column 2: Page
  Each form can have multiple pages (tabs). Put text here to create a new tab and specify its title. (Always start with one tab.) Leave it blank to add the field being defined to the last tab specified in an earlier row.
  
  
• Column 3: Section
  A page (tab) can have multiple sections. Put a value here to set the title of a new section Leave it blank to add the current field to the last section that was defined.
  
  
• Column 4: Primary Question
  This column will contain all of the fields/questions/observations present in your form. Specify the title of the field you are creating. Leave this blank, if you are creating a sub question. A sub question is shown dynamically when a certain checklist question is answered as Yes
  
  
• Column 5: Sub-Questions/List Options
  This column is used only when previous row is of type 'Checklist', 'Select', or 'Multi-Select'.
  • If previous row is of type 'Checklist', the field in the current row will be shown only if the answer to the previous field is 'Yes'.
    
    
  • If previous row is of type 'Select' or 'Multi-Select', the next set of rows will contain options for that field in this column. Example: An Employee Type is a field of type 'Select'. It can have two options: 'Temp Employee' or 'Full Time Employee'.

  • When you are providing Options, if you specify Distribution|DSTR, it means DSTR is internal value stored and Distribution is the label user will see in view.
    
    

   

• Column 6: Other Options
  If the previous field was of type 'Select', and last option is 'Other', then an additional row is created a text field added that lets a user specify what they mean by 'Other'. For example if there is a field such as "Reason For Claim" and the choices provided in Column 5 are "Fire, Theft, Robbery, and Other'. You can use the column 6 to ask user to specify more details if 'Others' is chosen. as in the example below:

• ​Column 8 (Checklist)
  A checklist field is useful in creating audits or inspections. Depending on the configuration of checklist field, when a user answers yes or no, additional options such as fields to add Notes, Photos and Assigning Corrective action can be chosen. In a checklist field, the options are separated by a Pipeline character '|'

   for example a field with following specification

   Yes,1,P|No,0  - There will be two options Yes or No. Yes will have a value of 1 and No will have a value of 0. Numerical values can be used for calculating scores.

 

   Yes,1,P|No,0,PCN|N/A,1.0001,N

In this specification, it is indicated that there will be three choices with scores of 1 or 0. Since two options cannot have same score, for Not Application choice 1.0001 is granted which is same as 1 during calculations. The options PCN indicates that on selection of No, Photos, Notes, as well as Corrective actions will be shown.

• Column 9 Onwards
• Mark 'X' on appropriate column depending on the field type.

• In the Hint column, a hint can be added to help user answer a question.
• The Label column is used to create helpful instructions that are placed in the middle of the form.

Once you have created a CSV file, you are ready to import it to create new stream using the definitions y present in the file.
